GGZ Tournament Guidelines

These guidelines are open to suggestions and discussion. If there are any guidelines you disagree with please send your thoughts to hosting@ggzcommunity.org.

  1. A registered host may host in any room of their choice at any time adhering to the tournament schedule guidelines.
    1. Non- registered hosts must have a registered host co-host with them, until such time as the registered host feels they are ready to receive their own cake. The registered host is required to submit the nickname of the non-registered host to have the cake applied.
    2. Although it is always preferable for hosts not to play in their tournaments, it is okay for a host to fill in when circumstances warrant.
  2. Hosts that want to input their own dates and times shall do so, whether it is for hosting with a group or independently. The person listed as host must be present in the room and active in the tournament, unless they have found an alternative registered host to replace them. The host listed is responsible for showing up and hosting, or canceling the tournament.
  3. When booking your tournaments, please spell out the room in its entirety, i.e. Spades Tournament Room 1. Include the date, the time in PT time zone, the format and the group or person responsible for hosting it.
Check your listings on the tournament schedule regularly to ensure all is correct. 4. Each hosting group or individual may schedule as they choose in any tournament room of their choice. Please avoid any conflict of an existing tournament already scheduled in that room. Please allow a minimum of two (2) hours between start times for tournaments held in the same room. Unless hosted by the same group and all are in agreement. 5. All tournaments are to be underway (everyone playing) no later than 10 minutes after the scheduled start time and the door open for other hosts to advertise. If no other tournament is scheduled within 90 minutes of your start time, then you may take additional Ins for Up to one hour prior to the next tourney start time. Starting on time is a great display of teamwork among all hosts. It shows respect towards fellow team members as well as the players. 6. If a format is listed on the tournament schedule, this is the format that is to be hosted. This is the format the players expect to play when they come to your tournament. 7. The tournament schedule is an important feature that players rely upon to plan and play in tournaments. In order to avoid players finding an empty room without a host, please send a cancellation notice if you are unable to host your tournament. It is understandable that when emergencies occur you may not always be able to send a cancellation notice. In the event that a host misses 3 or more scheduled tournaments (without sumbitting advance cancellation notice or arranging for a replacement host) within a one month period there will be: a) A case by case decision made depending on the circumstances by the site administrators. A pattern of repeated cancellations indicative of holding timeslots will be reviewed by the tournament administrators to determine their origin and hosts will be contacted for clarification. Removals of timeslots will be at the discretion of the tournament administrators and contingent upon circumstances. 8. To cancel a scheduled tournament, please email hosting@ggzcommunity.org 12 to 24 hours prior to the cancellation time with the following information: date(s) and time(s) to cancel, scheduled group or host. 9. To make changes to a tournament, email hosting@ggzcommunity.org with the following information: host nick that scheduled the tournament, title of tournament, date(s) and time(s) of change, exact changes to be made. 10. Scheduling of Events A. TOCs TOCs may be scheduled up to 1 month in advance and should be scheduled during one of your normal tournament times, so as not to interfere with other hosts normally scheduled events. TOC's for any group or host are limited to a maximum of 1 per month. One alternate format and one regular Format. All invitee's must have a been a finalist in one of the qualifying tournaments. No preferential treatment is to be given to club-mates or other hosts. To qualify you must have actually made a final. Tournament of champions (TOCs) are not everyday tournaments and are not to be scheduled as open tournaments. Open is for everyone, a tournament of champions is for champions of past tournaments ONLY. D. “Invitational Only” Tournaments Any tournament that is not open to all players,” i.e. club events, club functions, clan or group events, host and club only celebrations, etc., must be held in the designated function rooms. (Spur Room at this time) 11. Advertising for your tournament: Please do not advertise in a room that is actively taking INS. You may advertise in any room after rules and assignments have been posted, no later than 10 minutes after the scheduled start time. Please do not deny another the courtesy of posting their ad if it is 10 minutes after your scheduled start time. 12. b) Although it is always preferable for hosts not to play in their tournaments, it is okay for a host to fill in when circumstances warrant 13. Please do not interfere in another host’s tournament, whether in your hosting nick or player nick. If you disagree with how the tournament is being hosted, do not approach a host during a tournament, either in the Lobby or at a host table. If you want to speak to them about what you feel is incorrect, take it private, after their tournament and do so with consideration and respect. If you see a host that appears to be having problems, ask them if they would like help. If they decline, accept it and move on quietly. Regardless of your expertise and how you feel 'it' should be done, everyone is an individual and each individual has their own method of hosting. It is their tournament and everyone hosts to the best of their ability. Never correct a host during their tournament, it is disrespectful and all individuals in the GGZ games community must be treated with dignity and respect. A display of interference and disrespect shown to a host while they are hosting their tournament could result in a loss of priviledges. 14) Tournaments may be deleted from the tournament schedule, only with a valid reason by the tournament administrators. (Administrators to be determined). In the event that a tournament is deleted the scheduled host will be advised a.s.a.p. of the decision and the reasons for it. The host will have the option to appeal the decision. a) Tournaments and access may be removed for a period of up to 6 months, if a host is found to be in violation of the code of conduct. b) Tournaments and access may be removed for a period of up to 6 months, if a host does not adhere to these guidelines. After said time, this may be reviewed to determine if the restriction will be lifted. c) Schedule should allow for one tournament every half hour regardless of format. 18 - Defining Alt and Reg* c) Regular tournaments must be a minimum of 6 hands. 20 - Marathons** a) Marathons do not affect the normal schedule slots. (This has been based upon the present number of players/hosts at this time, as the number of players/hosts increase we will look at having both formats in each slot.)
